Setup, rules and refunds
ELIGIBILITY Muz Fest welcomes small businesses, makers, and food vendors — with priority given to Seattle-area and Pacific Northwest vendors — offering culturally diverse food, goods, art, and services that reflect the communities Muz Fest celebrates. All vendors must hold a current business license (and UBI number, if applicable). Food vendors need a valid food handler permit and, for halal offerings, proof of halal certification. Vendors cooking on-site with propane or open flame need a Seattle Fire Department permit; electric cooking and warming equipment are exempt. Food trucks and trailers are welcome and operate from their own vehicle setup. For all other vendors, Atuiqe supplies tables and chairs — no tents needed. Vendors bring their own signage and product displays; power can be arranged in advance if needed. Returning vendors are given priority. Atuiqe curates the vendor mix to keep a good balance across food, retail, art, and community organizations. IMPORTANT DEADLINES - Booth fee payment: due upon acceptance notification — unpaid balances after 15 days may result in forfeiture of your booth space. - Final booth/setup details (layout, signage, power or equipment needs): due 7 days before the event. - Menu/product list confirmation (food vendors, if not locked at application): due 14 days before the event. - Vendor load-in: begins 2 hours before event start (3:00 PM). - Last sale: 9:45 PM. Load-out: must be complete by 10:30 PM. SETUP & TEARDOWN Vendor access to The Boxyard (Victory Hall & The Yard) begins at 3:00 PM, two hours before event start. All vendors must be fully set up, with vehicles removed from load-in areas, by 4:45 PM to ensure a smooth 5:00 PM opening. Please plan to arrive promptly — early or late arrivals outside this window may affect your ability to access the space, per venue policy. All vendor booths must remain staffed and operational throughout event hours (5:00 PM – 10:00 PM). Teardown must begin promptly at 9:40 PM and be fully complete, with all vendor materials, tables, and trash removed from the venue, by 10:30 PM. Use of the space beyond the contracted event time is subject to venue overtime fees — vendors are asked to strike quickly and efficiently to avoid delays. Vendors are responsible for removing all trash, packaging, and equipment associated with their booth. Any vendor leaving excessive waste or damage may be responsible for related cleanup or damage fees. REFUND POLICY Vendor fees are non-refundable within 14 days of the event date. Cancellations made more than 14 days prior may be eligible for a 50% refund, minus processing fees. No refunds for no-shows, weather-related cancellations, or missed licensing deadlines. If Muz Fest cancels or postpones, vendors will be offered a full refund or credit toward a future event.
